Understanding EventNerds pricing

EventNerds offers flexible pricing plans designed to grow with your events. All plans include our core features with different limits based on your needs.

Variable costs explained

On Starter and Pro plans, you pay a small percentage (0.5%) of your ticket revenue in addition to your monthly subscription. This means:

  • If you sell $10,000 in tickets, you pay $50 in variable costs
  • If you sell $50,000 in tickets, you pay $250 in variable costs
  • Free events never incur variable costs
  • Variable costs are calculated monthly and billed separately

This pricing model aligns our success with yours. We only earn more when your events are successful.

Managing your subscription

Upgrading your plan

You can upgrade your plan at any time:

  1. Go to Organization Settings
  2. Click "Billing" in the left sidebar
  3. Click "Upgrade Plan"
  4. Select your new plan
  5. Confirm your payment method
  6. Click "Upgrade Now"

When you upgrade, you will be charged immediately on a pro-rated basis for the remainder of your billing period. Your new plan limits take effect instantly.

Downgrading your plan

You can downgrade to a lower plan:

  1. Go to Organization Settings
  2. Click "Billing"
  3. Click "Change Plan"
  4. Select a lower-tier plan
  5. Review the impact on your current events
  6. Confirm the downgrade

Downgrades take effect at the end of your current billing period. You will keep your current plan features until then. If you have more events or attendees than your new plan allows, you will need to adjust before the downgrade takes effect.

Canceling your subscription

You can cancel your paid subscription at any time:

  1. Go to Organization Settings
  2. Click "Billing"
  3. Click "Cancel Subscription"
  4. Tell us why you are leaving (optional but helpful)
  5. Confirm the cancellation

Your subscription remains active until the end of your billing period. After that, your account automatically converts to the Free plan. You will not lose any data, but you will need to ensure your usage fits within Free plan limits.

Payment methods

Adding a payment method

To add or update your payment method:

  1. Go to Organization Settings
  2. Click "Billing"
  3. Click "Payment Methods"
  4. Click "Add Payment Method"
  5. Enter your credit card details
  6. Click "Save"

We accept all major credit cards (Visa, Mastercard, American Express, Discover). Your payment information is securely stored and processed by Stripe. EventNerds never stores your full credit card number.

Changing your payment method

To switch to a different payment method:

  1. Add the new payment method (see above)
  2. Click "Set as Default" next to the new card
  3. Optionally, delete your old payment method

Your default payment method is used for all subscription charges and variable cost billing.

Payment failures

If a payment fails (expired card, insufficient funds, etc.), we will:

  • Send you an email notification immediately
  • Retry the payment automatically after 3 days
  • Retry again after 7 days if the second attempt fails
  • Downgrade your account to Free plan if all retries fail

To avoid service interruption, please update your payment method as soon as you receive a failed payment notification.

Invoices and receipts

Viewing your invoices

All invoices are available in your account:

  1. Go to Organization Settings
  2. Click "Billing"
  3. Click "Invoices" tab
  4. View your invoice history

Each invoice shows:

  • Invoice number and date
  • Billing period
  • Subscription charges
  • Variable costs breakdown (if applicable)
  • Total amount charged
  • Payment status

Downloading invoices

To download an invoice:

  1. Find the invoice in your invoice history
  2. Click "Download PDF"
  3. The invoice downloads to your computer

You can also email invoices directly to your accounting team from the invoice detail page.

Updating billing information

To change the name, address, or tax ID on your invoices:

  1. Go to Organization Settings
  2. Click "Billing"
  3. Click "Billing Information"
  4. Update your company name, address, or VAT/Tax ID
  5. Click "Save Changes"

Changes to billing information apply to all future invoices. Past invoices cannot be modified.

Usage tracking

Your usage is tracked automatically and displayed on your billing dashboard:

What we track

  • Active events: Events that are published and accepting registrations
  • Monthly attendees: Unique attendees across all your events in the current month
  • Ticket revenue: Total gross revenue from paid tickets (used to calculate variable costs)
  • API calls: Number of API requests made (for future rate limiting)

Viewing your usage

To check your current usage:

  1. Go to Organization Settings
  2. Click "Billing"
  3. View the "Current Usage" section

You will see progress bars showing how close you are to your plan limits. If you exceed your limits, you will be prompted to upgrade.

Usage notifications

We send email notifications when you reach:

  • 80% of your plan limits
  • 100% of your plan limits (soft limit warning)

These notifications help you plan ahead and upgrade before you hit hard limits.

Frequently asked questions

Can I change plans mid-month?

Yes. When upgrading, you pay a pro-rated amount for the remainder of the month and get instant access to new features. When downgrading, the change takes effect at the end of your billing period.

What happens if I exceed my plan limits?

You will receive notifications when approaching limits. If you exceed event or attendee limits, you will be prompted to upgrade. Your existing events continue to function, but you cannot create new events or accept new registrations until you upgrade or reduce usage.

Are variable costs charged monthly or per event?

Variable costs (0.5% of ticket revenue) are calculated per event but billed monthly. At the end of each month, we total all ticket revenue from all your events and charge 0.5% on your next invoice.

Do you offer annual billing?

Yes! Contact our sales team at sales@eventnerds.com for annual billing options. Annual plans receive a discount and simplified invoicing.

Can I get a refund if I cancel?

We do not provide refunds for partial months. When you cancel, your subscription remains active until the end of your current billing period. After that, your account converts to the Free plan.

What payment methods do you accept?

We accept all major credit cards (Visa, Mastercard, American Express, Discover) processed securely through Stripe. Enterprise customers can arrange for ACH/wire transfer payment.

Do you charge for free events?

No. Free events never incur variable costs, regardless of your plan. You only pay variable costs (0.5%) on paid ticket revenue.

Can I export my billing data?

Yes. You can download individual invoices as PDFs, and you can export your full billing history as a CSV file from the Billing page.
