Sponsors
Learn how to create sponsor tiers and manage event sponsors
What are sponsors?
Sponsors are companies or organizations that support your event, usually by providing money, services, or products in exchange for visibility and promotion.
EventNerds helps you manage your sponsors, display their logos and information, and track the benefits you provide to each sponsorship level.
Creating sponsor tiers
Sponsor tiers (also called levels) are different categories of sponsorship, each with different benefits and pricing. Common tiers include Platinum, Gold, Silver, and Bronze.
How to create a tier
- Go to your event page
- Click on the "Sponsors" tab
- Click "Manage Tiers"
- Click "Add Tier"
- Fill in the tier details
- Click "Create Tier"
Tier details to provide
- Name: The tier name (for example, "Platinum" or "Gold")
- Price: How much this sponsorship costs
- Description: What benefits this tier includes
- Display order: The order tiers appear on your event page (highest tier usually goes first)
- Color: A color to represent this tier (optional)
Tip:Be specific about benefits. Instead of saying "Great exposure," say "Logo on all marketing materials, 5-minute speaking slot, and a booth in the expo hall."
Adding sponsors
Once you have created sponsor tiers, you can add sponsors to your event.
How to add a sponsor
- Go to the Sponsors tab
- Click "Add Sponsor"
- Fill in the sponsor information
- Click "Add Sponsor"
Sponsor information to provide
- Company name: The official name of the sponsoring organization
- Logo: Upload their logo (PNG or SVG works best)
- Tier: Select which sponsorship tier they purchased
- Website: Link to their company website
- Description: A short description of the company
- Contact person: Your main contact at the sponsor company
- Contact email: How to reach your contact
Note: Ask sponsors for their logo in multiple formats (full color, white version, etc.) so you have flexibility for different backgrounds and materials.
Sponsor levels and benefits
Each tier should offer different benefits based on the sponsorship price. Higher tiers get more value and visibility.
Common sponsor benefits
Here are benefits you might offer to sponsors:
- Logo placement: On website, marketing materials, signage, swag
- Speaking opportunities: Keynote, session slot, or panel participation
- Booth space: A table or booth at the event
- Tickets: Free tickets for sponsor employees
- Social media: Mentions and posts about the sponsor
- Email marketing: Logo in event emails
- Attendee list: Access to attendee contact information (with permission)
- Swag bag items: Ability to include promotional items
- Exclusive access: VIP reception, speaker dinner, etc.
Example tier structure
A typical sponsorship structure might look like this:
- Platinum ($10,000): Largest logo placement, keynote speaking slot, 10 tickets, booth space, all digital marketing
- Gold ($5,000): Large logo placement, 5-minute speaking opportunity, 5 tickets, booth space
- Silver ($2,500): Medium logo placement, 3 tickets, shared booth space
- Bronze ($1,000): Small logo placement, 2 tickets, logo in email
Tip: Create a sponsorship prospectus document that details all tiers and benefits. This makes it easy to send to potential sponsors.
Managing sponsor visibility
You can control how and where sponsors appear on your event page and materials.
Sponsor display settings
For each sponsor, you can configure:
- Show on event page: Display the sponsor publicly
- Logo size: Based on their tier (larger for higher tiers)
- Featured sponsor: Highlight specific sponsors with special placement
- Display order: Control the order sponsors appear within their tier
Sponsor page
EventNerds automatically creates a sponsors section on your event page. Sponsors are grouped by tier, with higher tiers appearing first and with larger logos.
When attendees click on a sponsor logo, they see:
- Company description
- Website link
- Social media links
- Any special offers for attendees
Sponsor communications
Keep your sponsors informed and ensure they receive the benefits they paid for.
Creating a sponsor portal
You can give sponsors access to a portal where they can:
- Update their logo and company information
- See their benefits and what has been delivered
- Access attendee information (if included in their package)
- Download event marketing materials
- Manage their booth information
Regular updates
Send sponsors regular updates about:
- Registration numbers and attendee demographics
- Marketing reach (email opens, website visits, etc.)
- Event logistics (booth setup times, parking, etc.)
- Important deadlines (logo submission, swag delivery, etc.)
- Post-event reports (attendance, engagement, etc.)
Tip: Create a sponsor timeline that shows when each benefit will be delivered. Share this with sponsors so they know what to expect and when.
Tracking sponsor deliverables
It is important to track which sponsor benefits have been delivered and which are still pending.
Using the deliverables checklist
For each sponsor, you can create a checklist of deliverables:
- Go to a sponsor's profile
- Click "Manage Deliverables"
- Add all benefits from their tier
- Check off items as you complete them
Why tracking matters
Tracking deliverables helps you:
- Make sure you deliver everything you promised
- Avoid missing important sponsor benefits
- Create reports for sponsors showing what was delivered
- Remember to follow up on pending items
- Build trust for future sponsorships
